Terms of Service

These are the terms for using North Pole Bureau and for ordering a letter. By placing an order you agree to them. They are written plainly because we would rather you read them.

What the Bureau is

North Pole Bureau is a keepsake gift service run by Anvil Road LLC. The North Pole Bureau is an imaginary office. It is not a government agency and it is not part of any postal service. Letters are mailed through the ordinary post as regular letter mail.

Who may order

You must be 18 or older to place an order. You order as a parent or guardian, or as an adult sending a gift, and you are responsible for the details you provide about the child.

How a letter is made

You give us details about the child. An AI writing system drafts Santa's letter from those details. You read the whole letter before you buy. You can ask for changes, or edit the words yourself. Once you approve a version and pay, that version is the letter. It cannot be changed after purchase, because it is what gets printed and delivered.

What you get

  • Digital letter. Download links for a color and a black and white PDF, emailed to you. Links work through the end of January after the season, or 90 days from purchase, whichever is later. You may print the letter for personal use as many times as you like.
  • Printed and mailed letter. Your letter printed on Bureau stationery, sealed in an envelope, and posted to the address you give at checkout.
  • North Pole Deluxe. The printed letter, a Nice List certificate, and a digital copy of the letter.

Mailing

Mailed letters travel as ordinary letter post within the United States. Letter post is not tracked. We tell you when your letter is printed and when it is mailed. We cannot promise a delivery date, and we do not simulate postage or postmarks. Any ordering deadline we announce for Christmas is our best estimate, not a guarantee by the postal service.

Prices and payment

Prices are shown in US dollars before you pay. Payment is taken by Stripe at checkout. We do not store card details.

Refunds

Our refund policy says what we do if something goes wrong. In short: you approve the letter before you pay, so we do not refund a delivered letter because of its content, but we put right anything that is our fault.

Your details

You promise that the details you give are yours to give, and that they are about a child in your care or a child whose parent has asked you to order. Do not include a street address, a school, or a birthday in the letter details. Our privacy policy says what we do with what you give us.

What you may do with the letter

The letter is for personal, non-commercial use. Print it, frame it, keep it. Please do not resell it or the Bureau's artwork.

Our responsibility

We will do our best to deliver what you ordered. If we cannot, our responsibility is limited to the price you paid. We are not responsible for delays or loss in the postal system, though we will help you put it right.

Changes

We may update these terms. The date at the top changes when we do. Orders are covered by the terms in place when they were made.
